When is a connector-level integration the right choice?
A connector-level integration is the smallest thing that can usefully move data between two systems. Zapier, Make and n8n already hold tested connectors for the platforms most Australian small businesses run on: HubSpot, Pipedrive and Salesforce for CRM, Xero, MYOB and QuickBooks for accounting, Calendly, Cliniko, Halaxy and Square Appointments for bookings, Stripe and Square for payments, and Twilio, SendGrid and WhatsApp Business for messages. When the workflow is one-way, event-driven and a handful of steps long, wiring those connectors together is faster and cheaper than writing code, and it is what we recommend.
Typical jobs at this tier: a website enquiry creates a contact in the CRM and sends an SMS acknowledgement; a paid Stripe checkout raises a draft invoice in the accounting system; a new booking adds the customer to a mailing list and posts a message to the team. Each of those has a single trigger, a short chain of actions and no need to reconcile two records that disagree. Enquiry forms that need to feed a CRM often come out of lead capture and conversion work, and a connector is usually how they get there.
What do we build?
The work starts with the workflow written down: the trigger, every step, the filters that stop a step running, and the fields that pass from one to the next. We do not quote from a phone call. For a connector job we confirm that written workflow and check both systems' connectors and plans before fixing the price. If it turns out the workflow needs custom code, two-way data or conflict handling, integration discovery and scoping comes first and the build is priced from there.
The automation is then built in an account opened in your name on the platform that fits best. Zapier has the broadest catalogue of connectors and the simplest editor. Make handles branching and data transformation more naturally. n8n can be self-hosted, which matters when data must stay in a place you control. Each step is named, each field mapping is documented, and errors are routed to an address you nominate rather than disappearing into a platform dashboard nobody checks.
How is a connector integration tested?
No-code does not mean untested. Before handover we run the workflow with real records through the happy path, with the optional fields empty, with a record that should be filtered out, and with one step deliberately failed to confirm the error notification arrives and the run can be replayed. The test log is part of the handover. The full assurance suite of contract tests, load testing and CI monitoring belongs to the coded tiers, starting with the standard integration build, because a connector platform does not expose the surfaces those tests need.
Who owns the account and pays the fees?
You own the automation account, the workflows inside it, the connected app authorisations and the documentation. We build with access you grant and hand the login back when the job is done. If you want to edit a step yourself next month, or hand it to another developer, nothing stops you. There is no lock-in on a connector integration.
The platform subscription is a third-party fee, and so is any API fee the connected system charges. Both are named in the quote, along with who pays them, and that allocation is agreed in writing before the build starts. Xero, for example, now charges for API access on usage-based tiers, and where a connector talks to Xero that fee is named in the quote. We also design with webhooks and delta sync rather than polling, because a workflow that polls on a connector platform spends operations on every check whether or not anything has changed.
When do you need more than a connector?
Connectors are the right answer until they are not, and the signs are consistent. Data needs to flow in both directions and the two systems can disagree. Records need to be matched by something other than an email address. The vendor's connector does not expose the field you need. Volume is high enough that per-operation pricing costs more than a coded build would. A step needs a transformation the platform cannot express. At that point the workflow belongs in a coded build with a proper test suite, and we will say so rather than stretch a connector past what it can carry.
